Position: Receptionist (Legal)
Location: Nottingham
Salary: £21,000 – £22,000 per annum

 

CRA Consulting are currently seeking a professional and efficient Legal Receptionist to join a prestigious law firm based in Nottingham. The successful candidate will play a vital role in ensuring the smooth and efficient running of the firm’s reception area, while providing exceptional customer service to clients and visitors. This is an excellent opportunity for an individual with strong organisational skills, excellent communication abilities, and a passion for delivering outstanding client experiences within a legal environment.

Responsibilities:

  1. Greet and welcome clients, visitors, and staff in a courteous and professional manner.
  2. Answer and direct phone calls, taking messages and relaying accurate information when required.
  3. Provide general administrative support, including sorting mail, managing appointments, and maintaining the reception area’s cleanliness and tidiness.
  4. Ensure the reception area is well-stocked with necessary office supplies, brochures, and other informational materials.
  5. Schedule and coordinate client meetings, conference calls, and appointments, utilizing the firm’s booking system.
  6. Maintain an accurate and up-to-date electronic and physical filing system, including scanning and indexing documents.
  7. Assist lawyers and other staff members with administrative tasks such as document preparation, data entry, and record keeping.
  8. Manage the firm’s correspondence, including sending, receiving, and distributing emails, faxes, and courier packages.
  9. Collaborate with other support staff to ensure smooth workflow and efficient operation of the firm.
  10. Uphold confidentiality and handle sensitive information with utmost professionalism and discretion.
  11. Stay updated on the firm’s services, personnel, and policies to effectively address client inquiries and provide accurate information.
  12. Liaise with external service providers, such as couriers, suppliers, and maintenance personnel, to coordinate necessary services and repairs.
  13. Contribute to the development and improvement of office procedures and processes, recommending changes where necessary.

Requirements (ideal not essential) :

  1. Previous experience working as a receptionist or administrative assistant, preferably within a legal environment (not essential)
  2. Exceptional customer service skills with the ability to communicate professionally and courteously with clients, visitors, and staff.
  3. Strong organizational skills and attention to detail, capable of multitasking and prioritizing tasks effectively.
  4. Proficient in using office software and equipment, including Microsoft Office suite (Word, Excel, Outlook) and general office equipment (fax machines, printers, scanners).
  5. Excellent verbal and written communication skills.
  6. Ability to handle a fast-paced work environment while maintaining a calm and composed demeanor.
  7. Strong problem-solving skills and the ability to make quick decisions.
  8. Knowledge of legal terminology and procedures is desirable but not essential.
  9. Reliable and punctual, with a commitment to maintaining a professional appearance and attitude.
  10. Ability to maintain confidentiality and handle sensitive information with discretion.
